  1. Terminologia

The Attendee's Sheet is the collection of all information about the attendee. You can browse and edit this information while not being limited by settings of the registration form. This is also the place where you add comments to registrations.

In the top part of the sheet, you will find:

  • attendee's name and surname,
  • the Attendee Code containing a personal Attendee Code that is automatically generated for each attendee. These codes can also be added during registration import or changed manually,
  • unique invitation link generated for this registration basing on the Attendee code,
  • the Status of registration select that lets you manually assign any registration status to that attendee,
  • the QR code of that attendee,
  • the send message button, which allows you to select one of the configured Mailings template and send it to the attendee,
  • the Save button that saves all changes to all panels of this attendee's sheet.

CHANGING STATUSES OF REGISTRATION MANUALLY
does not send confirmation messages. In order for these mechanisms to work, the attendee needs to complete the registration by themselves.

Attendee's Sheet (panel)

This panel lets you browse and alter the attendee's data. The headers in this panel represent the sections of the registration form. You can access particular form fields when you click these headers.

is not limited by the conditions set for the registration form. As a consequence, if one of the sections is not visible for a particular type of participation, you can still access and modify its contents freely on the attendee's sheet.

Agenda of events

The panel shows the exhaustive list of agenda events divided into sections according to the configuration of the Agenda tab. The events selected by the attendee have their checkboxes checked. If declared, the date and time of each event is visible next to its name. This panel also features the prices from the time at which the attendee registered and the current prices.

As a consequence, if one of the sections is not visible for a particular type of participation, you can still access and modify its contents freely on the attendee's sheet. It is worth noting that current (for the instant you save the changes) prices will be applied to events you add.

Hotels

The panel contains a list of hotels and room types based on the configuration of the Hotels tab. The rooms selected by the attendee have their checkboxes checked. For the selected room, you can see the information about the attendee's check-in and check-out and the reservation's current price.

is not limited by the conditions set for the registration form. As a consequence, if one of the hotels is not visible for a particular type of participation, you can still book its room for that attendee freely on the attendee's sheet. It is worth noting that the current (for the instant you save the changes) price will be applied to the booking you add.

Comments to this registration

The add comment button lets the administrators add comments that will only be visible to other administrators. It is advised to use them to inform the team about significant changes made to registrations.

Confirmation of registration

This panel contains the list of registration confirmation messages sent to the attendee and a button that sends one. If the system is enabled to attach proforma invoices (configured in the Document Parameters tab) and the value of the registration is greater than zero, the proforma invoice will also be attached. This function may be useful if you want to inform the attendee about any changes made to their registration.

Payments

The Payments panel offers a set of functions that let you:

  • settle payments - using the fields: Due, Paid, Remaining, and Date of crediting, you can update incoming payments. For registrations with the status not paid and the Paid value different from the amount Due, the Settle button will appear. Use it to acknowledge payment and change the status to paid with a single click.
  • send confirmation of transaction - use it to generate and send the confirmation of transaction (the message can be edited in the E-mail Messages section). If the option to attach VAT invoices to confirmations of transactions is enabled in the Document Parameters tab, a VAT invoice will be attached to this message.

Attendee tracking

The table in this panel lets you check entry and exit times along with total present time at select areas (controlled with the use of the Access Control section). This panel is disabled by default and needs to be enabled in the On-site Service section.

Changelog

The changelog lets you track changes made to this registration by administrators. Each record shows the time of alteration and its author's IP address and name.

WHO SIGNED ME UP FOR THIS LECTURE?!
The Changelog panel is invaluable in settling disputes with attendees. However, the data available here may prove to be insufficient and you may need to access application logs (user menu in top-left corner of the screen).
