The reception desk service can be carried out manually, using the attendee search bar, or automatically, with the use of QR code or barcode readers.

Interface

The Reception panel changes as you carry out different actions related to attendee service:

  • The attendee search bar allows you to search the database for attendees. Input the first three letters of either the first name or the surname and the records will be filtered on the fly to enable you to find the right registration quickly.
  • The Scan code field allows you to employ QR code and barcode readers to identify attendees. Make sure to set the focus to this field before scanning (the field's border will be highlighted in blue).
  • The Add attendee field resets all data fields in order for you to be able to input the data of the new attendee that has not yet registered.
  • The attendee data fields available in this section by default are: First name, Surname, E-mail, Phone number, Participation type, Agenda. They will be automatically filled with data on attendee selection. Form fields available at the reception desk can be modified in the On-site Service section.
  • The Edit data button makes the fields editable so that you can correct the current attendee's data. This function can be disabled in the On-site Service section.
  • The Assign new ID button allows you to change the Attendee Code and assign a blank ID badge to that attendee (for instance, when the original ID badge was lost or damaged). To do this, you only need to scan a prepared blank ID badge and that badge's code will be assigned to the attendee.
  • The Print ID button is only available after one of the templates in the Edit PDF Template tab has been prepared and selected as the template to be printed at the reception desk. Clicking this button will send the generated file to the printer connected to this device.
  • The Acknowledge attendace button allows you to manually mark the attendee as present. When using a code reader, this button is obsolete because the application marks attendees as present automatically. However, if the reception desk is based on manual search, remember to use this button every time you want to mark the attendee as present.

Data analysis

Working with the Reception Desk section results in the attendance information to be stored in the database. This information is used to generate the content of:

  • The On-site Service panel of the Dashboard, which lets you quickly check the number of people present at the event,
  • The Attendee tracking panel on the Attendee's Sheet, which lets you see the check-in time for the Reception Desk and any Access Control checkpoints,
  • The Checked in at the reception desk and Time of checking in at the reception desk columns in the XLS reports generated in the Reports: Attendees section.

Remarks concerning the use of the Reception Desk

CONREGO supports QR code and barcode readers. The codes themselves can be embedded in the documents generated by the Edit PDF Template tab, in registration confirmation messages, confirmations of transactions, or the messages sent with the use of the Mailings module. If you plan to employ code readers, keep in mind that they function as keyboard interfaces and therefore they should call the Tab button after every scan. To do this, you need to program the code reader according to the manual that comes with the device.

The Reception Desk section will only allow the attendees that were available in the system in the moment you have entered (or reloaded) this screen to be served. To give an example, let us assume that you set up two reception desks and you add a new attendee at the reception desk A, it will not be possible to access that attendee at the reception desk B until the screen has been reloaded. Taking that into account, if:
- you are shown the message that no such attendee is in the database after scanning a code or
- the attendee does not show up in the search bar, 
then you should reload the page in your browser and try again.
