The section is divided into blocks responsible for different functions of the system:

Attendee tracking

The first block features two functions related to the Access Control section:

  • Enable visibility of Attendee tracking panel on the Attendee Sheet lets you preview the readings of QR codes (placed on ID badges) as attendees check in at the reception desks and pass access control checkpoints.
  • Require attendance at the Reception Desk before attendee can pass through the Access Control stands will cause the attendee who has not checked in at the Reception Desk (be it manually or by having their barcode / QR code scanned) to be invisible in the interface of the Access Control saction and it will not be possible to verify access rights of that attendee.

Interface of the Reception Desk and Access Control

The block on the right offers three options:

  • Disable attendee data editing at the Reception desk - checking this option will hide the Edit data button in the Reception Desk section interface and consequently make it impossible to edit attendee data.
  • Disable adding new attendees at the Reception desk - checking this option will hide the Add attendee button and consequently make it impossible to add new attendees at the reception desk.
  • Registration form fields available in both interfaces of On-site Service module - determines the interface of the Reception Desk and Access Control sections. The table below has three columns:
    - Field name - this column contains the names of all fields of the registration form.
    - Availibility at the Reception Desk - ticking the checkboxes will display the data in the corresponding form field in the Reception desk section interface.
    - Availibility at Access Control checkpoints - ticking the checkboxes will display the data in the corresponding form field in the Access Control section interface.

Attendees with access to the Reception

The next block features the option The register at the Reception desk will only include attendees with statuses selected below lets you select the statuses of registrations that will be available at the Reception Desk. If a status is not selected, attendee records with this status will not show up in the search bar and it will not be possible to mark these attendees as present by scanning their barcodes or QR codes. Do analyze which statuses should be selected.
An example:
if participation in the X conference is paid, and a registered attendee has not paid, their registration status will be not paid. In such situation, if you mark the not paid status as a valid one, then the attendee who has not paid for their participation will be able to attend and the system will not alert the staff!

Additional QR codes functions

This block is related to the PDF Creator module and allows you to embed additional information in attendees' QR codes:

  • Embed any URL address in all QR codes - lets you add a link to a website to the character string encoded in the QR code. This website can feature any content, e.g. the event programme.
  • Embed a link to attendees vCards (.vcf file) in QR codes - lets you attach a link to the attendee's business card to the character string encoded in the QR code. This will allow attendees to easily share their contact details. All they need is a smartphone with a QR code reader application. If you decide to use this function, you can also select the data you wish to be placed in vCards.

Printing at the Reception

The next block contains a set of options related to the Reception Desk service:

  • Disable ID badges printing at the Reception desk hides the Print ID button in the Reception Desk section. Note that the feature of printing ID badges is only available if you are using the PDF Creator module.
  • Automatically print ID badge after - if you tick the checkboxes Modification of attendee data / Adding new ID badge for attendee / Checking attendance, corresponding to buttons in the Reception Desk interface, then the file containing the attendee's ID badge will be sent to the connected printer automatically after completing these actions.

Attendance list reset

The last block features two options that function in a similar manner: Reset attandance list for the Reception Desk section and Reset attandance list for the Access Control section. These options are used to delete any records of attendee check-in at the Reception Desk and passing Access Control checkpoints. Caution! This action is irreversible within CONREGO interface.
